Why this list runs by the calendar

Our scope of work guide walks a Gilroy building room by room. This page reshuffles that work by the calendar instead: what has to be done after every visit, what the crew picks up once a week, and what only comes around monthly or a few times a year. Hand the printable to whoever opens the office and they can tell within a few minutes whether last night’s visit landed.

Cadence is what makes a missed task easy to spot. Dust on a return-air grille in the middle of the month belongs to the monthly round, so it isn’t a miss yet. An overflowing bin beside the copier is a miss every time, because trash sits on the each-visit list. Reading the office against the right column keeps your feedback fair, specific and quick to act on.

Each visit, whether that means five nights or two

These jobs repeat on every visit, whatever the number of nights in your plan. They cover the rooms that show wear within a day: restrooms, the kitchen, the front entry and anything people put their hands on.

  • Bins at desks, copiers, the kitchen and meeting tables emptied and relined, with recycling carried out
  • Restrooms cleaned and sanitized: toilets, urinals, sinks, counters, mirrors and floors
  • Paper, soap and liners refilled in each restroom and the kitchen
  • Kitchen counters, sink, tables and the outside of the microwave and fridge wiped
  • Door handles, light switches, copier buttons and stair rails wiped
  • Cleared desktops and shared work surfaces cleaned, with papers left where they sit
  • Reception counter and entry door glass cleaned of handprints
  • Carpet vacuumed in walkways and open work areas; hard floors swept and damp-mopped

An office on two or three visits a week keeps this same list; each room simply goes longer between visits. That is why the kitchen and the restrooms usually decide how many nights you need, and private offices follow on a lighter rhythm.

Once a week

Weekly work reaches the places that gather dust and marks slowly. Spreading these tasks across the week keeps any single visit from running long.

  • Low ledges, windowsills, filing cabinet tops and partition edges dusted
  • Private offices vacuumed wall to wall, under desks where the floor is clear
  • Meeting room chairs wiped down and table bases dusted
  • Interior glass partitions and glass doors cleaned
  • Microwave interior wiped and fridge door seals cleaned
  • Hallway and lobby baseboards dusted
  • Restroom stall doors and partition panels wiped

Monthly detail work

The monthly round is the detail you only notice once it has been skipped for a season. Ticking it off once a month keeps the office from slowly looking tired.

  • Air vents and return grilles dusted
  • Door frames, kick plates and partition tops wiped
  • Chair bases and upholstered seating vacuumed
  • Wall art, signage and picture frames dusted
  • Kitchen cabinet fronts and drawer pulls wiped
  • Storage rooms and supply closets swept
  • Carpet spots treated in traffic lanes and around desks
  • Trash and recycling containers washed out

Quarterly and periodic jobs

This tier keeps its own calendar and is booked as separate visits, because they need equipment, drying time and rooms nobody is using. A regular evening visit doesn’t have room for them.

  • Lobby, kitchen and restroom hard floors machine-scrubbed and recoated on the cycle set for them
  • Floors burnished between recoats to bring back the shine
  • Carpet hot-water extraction in walkways and busy rooms
  • Windows cleaned inside and out
  • High dusting of light fixtures, vents and ledges out of easy reach
  • Restroom deep cleaning: grout scrubbed and scale lifted from fixtures
  • Entry walks and sidewalks pressure washed

The floor lines come from our commercial floor care work, and glass is handled through window cleaning. Seasons matter too: winter rain tracks mud onto entry carpet, so an extraction booked as the wet months end tends to hold up longest.

Putting the checklist to work

Morning walkthroughs. Take the sheet on a short loop before staff arrive: entry, restrooms, kitchen, one open work area and one private office. Tick what you see done and jot a note beside anything that isn’t. Those five stops tell you most of what there is to know about a visit.

Planning talks. Before you request a quote, mark up a copy. Cross out tasks that don’t apply, move a room into a busier column and write in anything we left off. Bring that marked sheet to the walkthrough that comes with every quote, and the routine we price will follow it.

Spot checks over time. Pick one column a week to check in depth: the weekly list one Monday, the monthly list near the end of the month. Our supervisors run quality inspections against the routine too, and your dated sheets show them exactly what you are seeing.

Keep a blank copy in the kitchen or by the copier as well. Staff who spot a spill on the carpet or a dispenser running low can jot it on the sheet during the day, and whoever does the morning walk picks those notes up along with their own. Small reports like that are often the first sign a room has outgrown its column.

When the office changes, change the sheet. A growing team, a second kitchen or longer working hours can lift a room from weekly to every visit. Tell us what changed, and our office cleaning routine moves with it.

A few useful answers

Common questions

Is there a cost or a form before the download?

No. The PDF opens straight from this page, and a clean copy can go to print before each walk.

How many nights a week should an office be cleaned?

Let the kitchen and restrooms decide. A small office with light use does well on two or three evening visits, while an office with a busy kitchen and shared restrooms needs every weekday. The each-visit column runs on whichever schedule you choose.

Why aren’t floor scrubbing and carpet extraction on the weekly list?

They take machines, drying time and empty rooms, so they run as separate visits on their own cycle. Booking them apart keeps the regular visits on time and puts the right equipment on the floor.

What should we do when a task on the list is missed?

Write the room, the task and the date on the sheet and send it to us. A specific note is quicker to put right than a general complaint, and it shows whether the miss was a one-off or a sign the route needs more time in that room.

Can we edit the list for our own building?

Yes. Mark it up before your walkthrough and we build the visit around your version: your rooms, your nights, and whether we bring the paper goods or use the stock you keep.
